1. Payment Terms

  • When is my reservation confirmed?
    Your reservation is tentative until payment is received. We accept American Express, Discover, MasterCard, and Visa.
  • What are the payment deadlines?
    • Advance Payment: 50% of the total rent, plus applicable taxes and optional travel insurance, is due at booking.
    • Balance Due: The remaining balance is due 30 days before arrival. We’ll charge your card automatically unless you contact us to arrange a different payment method.

2. Cancellation Policy

  • What happens if I need to cancel my reservation?
    Cancellations must be made in writing. Refunds depend on when you cancel:
    • More than 60 days before arrival: 50% refund minus a $100 administrative fee and processing fees.
    • Less than 60 days before arrival: No refund.
    • Note: Third-party booking fees (e.g., through VRBO) must be refunded by the third party.
  • What if Bald Head Island Vacations cancels my reservation?
    If your home becomes unavailable, we’ll make every effort to relocate you or refund 100% of your payment.

3. Travel Insurance

  • Is trip cancellation insurance available?
    Yes, we offer travel insurance through Rental Guardian to protect your investment from unexpected events, including mandatory evacuations. Coverage details are available at Rental Guardian.

4. Damage Coverage

  • Do I need to pay a security deposit?
    No, we require an Accidental Damage Insurance Policy instead. This covers most accidental damage but excludes intentional or reckless acts, excessive pet damage, and smoking violations.

5. Taxes and Fees

  • What taxes apply to my reservation?
    North Carolina sales tax and local occupancy taxes apply to all reservations. These taxes are subject to change and will be due at the time of your stay.

6. Check-In and Check-Out

  • When can I check in and out?
    • Check-in: After 4:00 PM (may be delayed until 6:00 PM).
    • Check-out: By 9:00 AM.
  • Can I request early check-in or late check-out?
    This service is only available during the off-season. Contact us for availability and pricing.

7. Housekeeping

  • What should I do if the property isn’t clean upon arrival?
    Report any housekeeping issues within 24 hours, and we’ll address them promptly. No refunds are provided for housekeeping oversights.

8. Property Rules

  • Are pets allowed?
    Only in designated pet-friendly homes with a $250 pet fee. Additional fees may apply for extra pets. Unauthorized pets will result in immediate eviction and fees of $500.
  • Is smoking allowed?
    No. All properties are smoke-free. Violations will incur a $250 fee plus cleaning costs.
  • Are events allowed?
    Events require prior approval and may incur additional fees.

9. Emergencies and Maintenance

  • What if the property is sold before my stay?
